How to change or Reset Password.

Klaus Connect staff passwords are stored as encrypted bcrypt hashes. There are several ways to reset or change a password

Click-path (How-to Flow)

  1. Forgot Password – Recommended if the employee is locked out

Use the Forgot Password option on the Klaus Connect (Hybrix) login page.

  • Enter the employee’s work email or username.

  • The system creates a temporary 12-character password and emails it to their office email.

  • The employee logs in using the temporary password.

  • They will then be required to create a new password and review their profile.

The account must be active and have a valid office email.

Important: The Forgot Password link in Scheduler is currently not working because that page has not been implemented. Use the main Klaus Connect login page instead.

  1. Change Password – Employee is already logged in

If the employee knows their current password, they can change it through Klaus Connect or the mobile app.

The new password must:

  • Be at least 8 characters.

  • Be different from the current password.

  • Not be their username, email address, or “password.”

Note: The Change Password tab under Profile Settings is currently not functional.

  1. HR Password Reset

HR admins can reset an employee’s password directly:

Human Resources → Users → Select Employee → Reset Password

  • Password must be at least 10 characters.

  • The system does not email the new password to the employee.

  • HR must provide the new password to the employee.

  • The employee will not be required to change it after logging in.

Important: Use the Reset Password option specifically from the HR Users section. The reset button on the employee-detail screen is currently not connected.

  1. Admin Employee Edit

An admin can also set a new password while editing an employee.

Open the employee → Edit → enter a new password → Save.

Leave the password field blank if you do not want to change the employee’s existing password.

This method does not email the employee or require them to change the password afterward.

  1. New Employee / First-Time Login

If the employee has never created a password, use the Employee Onboarding Invite instead. The employee will receive the onboarding process and create their initial password.

This is different from resetting an existing password.

Recommended use:

Locked out + has work email → Use Forgot Password on Klaus Connect

Knows current password → Change Password

HR needs to immediately set a password → HR → Users → Reset Password

Admin is already editing the employee → Set password in Employee Edit

Scheduler forgot password → Use Klaus Connect instead

SpendLedger → Uses its own Forgot Password process and sends a reset link that expires after 30 minutes

Avoid manually changing the password directly in the database unless absolutely necessary. Passwords must be properly bcrypt-hashed, and a local database connection may point to the production database.
